Data and purposes.
Site visitsThe hosting provider may process IP address, request details, device information, and security logs to deliver and protect the site.
AnalyticsThis site does not use browser analytics, tracking pixels, external embeds, or other third-party browser tracking. The launch source contains no browser-analytics loader, sets no analytics cookies, and Cloudflare Web Analytics is disabled.
Email enquiriesWhen you submit the contact, demo, or support form, this website transmits it to PB systems ApS through a transactional email provider and delivers it to a fixed ProjectBook address. The recipient address is set by the server and cannot be changed from your browser. The website itself does not store the message.
Enquiry dataA submission may contain your name, company, work email, optional phone number, message, the language version you used, and ordinary email metadata such as sender, recipient, subject, and time. Your email address is set as the reply address so that PB systems ApS can answer you.
Providing dataUsing the public contact routes is voluntary. Name, company, and work email are required to send the form; phone and message are optional. Without the required fields the form cannot be sent, but you can email the published address directly.
Spam protectionTo prevent automated abuse, the site checks a hidden field that people do not see, how quickly the form was completed, and how many submissions have come from the same internet connection within the last hour. For the last check the site stores a one-way cryptographic hash of your IP address combined with a secret value. No IP address is stored, the hash expires by itself within one hour, and it is used for no other purpose. No CAPTCHA is used and no third-party anti-spam service receives your data.
Initial languageWhen you open the address without a language, the site uses the country that Cloudflare derives from your network connection to decide whether to show the Danish, Swedish, or English version. The country is used only for that one redirect, is not stored, and no cookie is set. Every language version remains directly reachable by its own address.
PurposesDeliver and secure the site, answer enquiries, arrange demonstrations, and provide support.
Legal basesPB systems ApS relies on legitimate interests to deliver and protect the public site and to respond to ordinary business enquiries. Where an enquiry asks PB systems ApS to take steps before a possible agreement, processing may also be necessary to take those steps at the person’s request.
Automated decisionsPB systems ApS does not use public-site enquiry data for automated decision-making or profiling.
Recipients and transfers
Who may process the data.
Website deliveryCloudflare Pages, a service provided by Cloudflare, Inc., hosts and delivers the site. Cloudflare can process IP addresses, request details, device or browser information, and network or security data to serve, cache, and protect the site.
Analytics providersNo separate browser-analytics provider receives beacon data while optional analytics remains disabled. Cloudflare still processes edge request and network or security data as described above. Any future browser-analytics activation requires a documented review and an updated policy before activation.
Email deliveryForm submissions are transmitted by Resend, a service provided by Resend, Inc., processing in Ireland, and are delivered to PB systems ApS’s Google Workspace mailboxes. PB systems ApS has confirmed a data-processing agreement with Resend and acceptance of Google’s applicable data-processing terms. Replies are then handled by your own email provider and by Google Workspace.
Email repliesDo not send tender documents, passwords, or sensitive project data through the public contact routes.
International transfersCloudflare, Google, and Resend use global infrastructure and may process data outside the EEA. Although enquiry sending is configured to the Resend region in Ireland, Resend’s data-processing addendum acknowledges transfers to the United States as necessary to provide the service, and provides the EU Standard Contractual Clauses together with the EU–U.S. Data Privacy Framework as transfer mechanisms. Cloudflare’s and Google’s applicable data-processing terms provide equivalent mechanisms, including the EU Standard Contractual Clauses where relevant.
Customer productThis policy covers the public information site. Customer accounts, tender documents, and the ProjectBook application require separate contractual and data-processing information.
Retention and rights
How long data is kept and what you can request.
Website formsThis website stores no form submission and writes no log of its content. The spam-protection hash described above expires by itself within one hour. Resend retains message content and delivery logs for 30 days, after which they are removed on its side. The delivered email is kept in the ProjectBook mailbox under Google Workspace retention.
Hosting logsPB systems ApS has not enabled optional Cloudflare Web Analytics, Logpush, Cloudflare Logpull HTTP-request retention, or Log Explorer. Cloudflare may still process provider-side operational, edge, network, or security data under its applicable service and data-processing terms.
EmailDemo and contact enquiries are deleted no later than 12 months after the last meaningful contact. Support enquiries are retained while the issue is open and for no longer than 12 months after the last meaningful support contact. If an enquiry becomes part of a customer agreement, it is retained while needed to administer that agreement and is then deleted, unless a longer period is required by law or needed for a legal claim. Information required by law is retained for the legally required period. Dispute material is retained only while needed to establish, exercise, or defend a legal claim and is then deleted.
Your rightsDepending on the circumstances, you may request access, correction, deletion, restriction, objection, or portability. Ulrich Lindman is the primary owner for requests and Jakob Ø. Madsen is the backup. Contact [email protected] or [email protected]. Requests are handled without undue delay and in any event within one month. Where necessary because of the complexity or number of requests, this period may be extended by up to two further months. You will be informed within the first month and given the reason for the extension. Identity may be verified before a request is fulfilled.
ComplaintYou may complain to Datatilsynet in Denmark or the competent supervisory authority where you live or work.
